Client Support Specialist

Castle Hall is an entrepreneurial, dynamic and fast moving company that is looking to add a Client Support Specialist reporting directly to our Head of Client Support, in our Halifax Office. This role responds to increasing demand for Castle Hall’s services.


  • Promptly and professional respond to daily client inquiries
  • Assist in coordinating new orders from existing clients
  • Integral Data input in CRM software and proprietary ERP
  • Ensure client facing portal is accurate
  • Assist in new client onboarding process
  • Conduct and report on survey results for investment managers
  • Ensure accuracy of FS data entered in proprietary ERP
  • Liaise with operations team to ensure expectations are met
  • Assist with regular reporting requirements
  • Work closely with leadership in all offices including our Manila office on the management and creation of reports as well as resource management
  • Ensure production process deadlines and timelines are followed
  • Determine, isolate and implement changes to production process inefficiencies
  • Ensure Castle Hall’s propriety software is being used by clients to the best of its abilities, provides suggestions and implementation of new characteristics & features through online demonstrations
  • Monitor & respond to Live Chat
  • As business grows; train, develop & mentor additional team members


  • College diploma or University degree in a related field
  • Strong work ethic with professional integrity and a positive, proactive attitude
  • Pragmatic, solutions oriented mindset
  • High attention to detail
  • Excellent organizational skills
  • Computer proficiency with full MS office Suit, with strong excel skills
  • Polished, energetic and professional demeanour
  • Knowledge of financial industry an asset
  • Experience in similar role an asset
  • Experience with Hubspot and Sharepoint considered an asset
  • Ability to adjust priorities and handle time wisely in a fast-paced environment
  • Ability to develop and maintain collaborative working relationships
  • Strong communication skills; both written and verbal as well as the ability to work in a team
