Client Support Specialist

Castle Hall is an entrepreneurial, dynamic and fast moving company that is looking to add a Client Support Specialist reporting directly to our Head of Client Support. This role responds to increasing demand for Castle Hall’s services. The successful candidate will be given the opportunity for personal and professional growth.

RESPONSIBILITIES

  • Promptly and professionally respond to daily client inquiries
  • Assist in coordinating resource allocation & monitor completion of requests
  • Order entry into our CRM software and proprietary ERP
  • Consistently monitor client facing portal to ensure accuracy and timely posting of new information & completed work
  • Assist in new client onboarding processes
  • Assist in maintaining new and existing client relationships
  • Liase with operations team to ensure production deadlines are met
  • Assist with regular reporting requirements to senior management
  • Work closely with all offices on a daily basis
  • Continuously demonstrate the functionality of our proprietary platform to clients
  • Identify existing clients needs to suggest new products and services
  • Monitor & respond to Live Chats from clients
  • As business grows; train, develop & mentor additional team members
  • Successful candidates will be expected to gain a thorough understanding of all Castle Hall services

DESIRED SKILLS AND EXPERIENCE

  • College diploma/University degree in a related field, or equivalent experience in a similar role
  • Strong work ethic with professional integrity and a positive, proactive attitude
  • Pragmatic, solutions oriented mindset
  • High attention to detail
  • Excellent organizational skills
  • Computer proficiency with full MS office Suit, with strong excel skills
  • Polished, energetic and professional demeanor
  • Knowledge of financial industry an asset
  • Experience in similar role an asset
  • Experience with Hubspot and Sharepoint considered an asset
  • Ability to adjust priorities and handle time wisely in a fast-paced environment
  • Ability to develop and maintain collaborative working relationships
  • Strong communication skills; both written and verbal as well as the ability to work in a team

*Due to Covid-19 all employees within Castle Hall are currently working from home with the potential to move back into an office environment when government regulations say it is safe to do so. Until then all interviews and meetings will be held virtually.
